REEF Technology has reimagined the role of a parking facility. We are the largest network of parking lots in North America, believing these locations can do a lot more than just store your car. They serve as buffers for high density, high activity areas and, as such, alleviate congestion and the ensuing pollution. But, with the explosive growth of the sharing and on-demand economy, it is expected that the need for parking to solely store cars will be outgrown by other needs.  

What You’ll Do

You'll serve as a right arm for our executive leadership team leaders while frequently deploying support tactics to optimize executive-level operations, preparedness, communication, and efficiency. By infusing your seasoned administrative and analytical abilities, you’ll be a point person for executive affairs while working to maintain credibility, best practices, and consistent operations. Thrive & Strive – Behind The Scenes 

  • Project-manage critical events and meetings by crafting agenda communication, preparing meeting materials and/or presentations, scheduling conference spaces, and coordinating IT and catering resources  
  • Support day-to-day operational activities, including completing expense reports, arranging complex and detailed travel information (i.e. plans, itineraries, and agendas), and compiling documents for travel-related meetings  

Support Critical Projects  

  • Own end-to-end workstreams and prioritize conflicting needs to ensure completion and deadline achievement  
  • Act as a gatekeeper and gateway by regulating access to an executive’s schedule, time, and bandwidth to help prioritize projects and initiatives to support crucial business needs 

Spark Collaborative Communication  

  • Craft and prepare communication on behalf of executive leaders and/or determine the appropriate action, response, and referral for sensitive, confidential matters  
  • Research, prioritize, and follow-up on issues and concerns and mobilize strategic and critical thinking tactics to bridge communication gaps between executives and internal departments 

Build Mutually Beneficial Relationships 

  • Build cross-functional and global relationships to increase partnerships and engagement with senior leadership  
  • Manage relationships with key stakeholders, including vendors, service providers, landlords, and suppliers, to communicate and accommodate executive needs  

What We Want From You:

  • Bachelor’s degree  
  • Previous experience as an executive assistant to a CEO or president required 
  • Must be proficient with MS office and CRMs, including Salesforce and Asana 
  • Excellent written and oral communication skills 
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
