What You’ll Do

Our Staffing Coordinator is responsible for ensuring strategic scheduling support for locations throughout the lower mainland. This is primarily achieved through proactively addressing resource needs, filling open shifts, and reducing overtime through strategic initiatives. The Staffing Coordinator will ensure that all field staff that are scheduled into shifts are compliant with any specific binding requirements. This position ensures a link between Reef attendants and its varied clienteles by ensuring that the placement of our attendants.

We are seeking a Full-time permanent candidate this is a hybrid-office position for our Vancouver location.

Work week is Monday - Friday

  • Strategically identify open shifts / open lines and scheduling resources using the provided pool of employees.
  • Create and publish work schedules for Reef Attendants on a bi-weekly basis, update and modify as needed.
  • Efficiently process shift cancellations and redeploy staff for coverage of sick calls and Vacations.
  • Work proactively to maintain a pool of casual employees for emergency shift coverage or upcoming events.
  • Process Bi-weekly payroll for field staff
  • Strategically plan schedules to ensure effective use of resources and minimize unnecessary overtime.
  • Communicate information to staff as requested regarding additional shifts, vacation requests and shift availability.
  • Work with the Scheduling Team to ensure schedules are complete and adhere to our predetermined Union agreement.
  • Work within a dynamic team environment with multiple operational stakeholders including Site Supervisors, Attendants, Account Managers and the Union.
  • Work to develop knowledge of Reef's contractual obligations for the Portfolio(s) that have staffing requirements.
  • Ensure that all inbound calls are answered or responded to by the end of shift.
  • Complete daily and weekly reports to send out to management team.
  • Performs other duties as requested to assist with corporate and/or branch needs.

What We Want From You:

  • Experience working with scheduling software is an asset
  • Experience working in a Union environment is an asset
  • Ability to communicate effectively orally and in writing.
  • Ability to organize work and carry out the duties of the position with independence.
  • Computer skills especially related to use of office programs.
  • Proficient organization, time and general management skills
